How to Build Your Chicago Wedding Vendor Team
Start with your anchors
Every wedding has two or three vendors whose style shapes everything else: typically your photographer, venue, and florist. Book these first — they fill up fastest and their aesthetic will inform every other hire.
Before you search, sit down together and pull a dozen wedding photos you both love. Look for patterns. Do you gravitate toward light and airy editorial shots, or moody film-toned images? Lush greenery or structured arrangements? Your answers will help you filter quickly.
Book in priority order
Once you've locked in your anchor vendors, work through the rest roughly in this order:
- Photographer + videographer — Books 12–18 months out for peak dates (May–October in Chicago).
- Venue — Some Chicago venues require you to use their preferred vendor list; confirm this before booking anything else.
- Caterer / bar service — Often venue-linked.
- Hair & makeup — The best artists in Chicago fill up 9–12 months ahead.
- DJ or band — Quality live bands book out especially fast.
- Florist — Give yourself 6–9 months.

Get everything in writing
Regardless of how much you trust a vendor, always use a contract. A good contract covers: deposit amount and refund policy, what happens if they cancel, deliverables and timeline, and any overtime fees.
Chicago-specific timing tips
- Spring and fall are peak season in Chicago. If you're getting married May–June or September–October, start your search at least 12–14 months out.
- Winter weddings (December–February) have more vendor availability and you may be able to negotiate on price — but confirm your outdoor photography plan in advance.
- Friday and Sunday weddings open up availability considerably and some vendors offer reduced rates.
